Where the file went

Someone sent it, and three tools might hold a copy. Attach the current file in the thread that owns the decision so everyone opens the same version.

Where files hide
Each place is reasonable on its own. Together they make a hunt.
An attachment on an old subject line
You remember who sent it but not the month.
A photo of a screen in a text
It is hard to search and may already be out of date.
The file and the sentence together
Attach the file in the channel and write what it is for.
One thread for the current file
Choose the channel or the DM so there is only one current copy.
A pin for the file people need now
Pin the spec that is current.
Search when the pin is old
Search the filename or a customer name to find the message that carried that version.
How to park the current file
Do it the second time someone asks for the file.
1. Find the version you trust
If you are unsure, say so in the message.
2. Attach it once
Post it in the thread that owns the decision.
3. Name the version in words
Use a date or a label such as 2026 price sheet, so everyone knows which copy it is.
4. Pin it
Say the older copies are out of date, including the email you keep forwarding.
Chat holds the copy people discuss
A drive can still be the library. The thread is where people look when they talk about the file.
Keep the library if you have one
Link to it in the message when the chat copy points to the library.
Attach when the group needs the file
A link to a locked folder sends people hunting again.
A file for one reviewer goes in the DM
Keep a private draft out of the project channel.

Current copies, pins, and drives.

Keep them. Tell people in the channel message that the email copies are out of date.

Leave the file there and post the link with one line of context, or attach the file if people cannot open the drive.

Search messages and files, open the channel Files tab, or use the pin if it is still current. See searchable team chat.

That page covers how sending works. This page covers finding the current copy. See share files in chat.

Keep the trail. Also write the decision and attach the file where the team will look.
